Each participating employee checks-in on the Roster Billing form. The Roster Billing form typically gathers the group name and number, event date, member name and member number. The Roster, along with a summary invoice, is sent directly to the insurance plan contact established for the company. All non-participating employees are billed to the company directly unless prior arrangements have been made. Online Employee Signup is helpful in gathering member identification numbers prior to the event to verify missing, incorrect, or illegible numbers. Please strongly consider utilizing the Online Employee signup application.
Implementation
VSA/HFA recommends delivering flu shots during November in order to allow the vaccine supply to meet the demand and stabilize. Please note that even if there is no flu vaccine shortage the vaccine is not immediately available to everyone. Most manufacturers and distributors are implementing phased shipping schedules whereby only partial shipments are initially distributed. Fortunately, VSA/HFA regularly receives a significant supply of flu vaccine between September 1st and October 1st, but by allowing as much lag time as possible we assure timely and organized flu vaccination programs for both VSA/HFA and our clients. Distributing flu shots in late October is possible during most years. VSA/HFA continually provides updates to its clients through the company website and scheduling system.
